After Hours Coordinator

Job Overview:

As an After Hours team member, you play a crucial role in ensuring the smooth operation of our logistics processes outside of regular business hours. Your primary responsibility is to prioritize and resolve problems that need immediate attention, communicating effectively and promptly with all relevant parties. You will be a key point of contact for drivers, dispatchers, and brokers, ensuring that any issues are addressed swiftly and efficiently to minimize disruptions. Your proactive approach and ability to think on your feet will contribute significantly to the success of our operations during after hours.

Responsibilities and Duties:

  • Follow Fleet Managers’ Instructions: Adhere to instructions from fleet managers regarding trucks, loads, or driver-specific issues, ensuring prompt and accurate implementation.
  • Resolve Urgent Issues: Act immediately on active problems that require urgent resolution, maintaining a proactive approach to minimize disruptions.
  • Track Trip Progress: Monitor all active trips in Pro Transport, with a focus on Pick Up and Delivery appointments, to ensure timely completion.
  • Manage Delays: Request detentions for Pick Up or Delivery delays, and promptly update the Dispatch team and Brokers to manage expectations.
  • Communicate Effectively: Note any delays in Pro Transport and promptly inform brokers via email or phone, ensuring clear and timely communication.
  • Ensure Temperature Compliance: Communicate temperature discrepancies to brokers and confirm required temperatures, maintaining adherence to guidelines.
  • Provide Regular Updates: Offer regular updates on location, distance, and truck status in Pro Transport, facilitating smooth operations and transparency.
  • Manage Financial Transactions: Send EFS money codes for various purposes such as Lumper’s, Pallet Exchange, Escort Fee, Late Fee, and confirm receipt with drivers, ensuring financial accuracy.
  • Support Maintenance: Identify issues, find repair solutions, and report repairs in Fleetio, providing essential maintenance support for fleet operations.
  • Coordinate Repairs: Update Pro Transport and notify relevant parties if a truck is in a repair shop, ensuring all stakeholders are informed of the status.
  • Ensure Safety: Provide safety support in case of incidents or accidents, following safety procedures for reporting, and prioritizing driver and public safety.
  • Perform Additional Tasks: Undertake additional morning shift tasks, such as contacting drivers for updates and waking up late drivers, to ensure smooth operations.
